Aon are currently recruiting a Team Administrator to support the Aon Law legal team. The Team Administrator will provide administrative support to Aon Law lawyers based in different locations. This role may be based out of our Cracow or Warsaw office.
The Aon Law team provides advice, counsel and support to a number of Aon’s businesses (mainly its UK-based (re)insurance broking and consultancy activities). The team exists to help these businesses protect and exploit their assets in a manner that is consistent with the expectations of our various stakeholders (including our regulators). Our team is based in London, Warsaw, Cracow, Manchester and Dublin.
As a Team Administrator your key responsibilities will involve:
Provision of administrative support to Aon Law lawyers
- Manage Aon Law UK’s Matter Management System, principally by opening and closing matters and running reports;
- Process invoices from external law firms and other third-party service providers;
- Managing case intake proces;
- Participate in teams information management;
- Diary management and arrange meetings and facilities for lawyers;
- Process expenses for lawyers;
- Book flights and other travel arrangements;
- Respond to administrative queries;
- Support the production and amendment of Word, Powerpoint and Excel documents, and
- Work flexibly to undertake all tasks of an administrative nature that are referred to you by your manager.
More generally, in fulfilling your role you will be responsible for working in accordance with the Aon UK Limited Risk Management Framework and compliance with the Aon UK Limited policies, including participation in the management of risks (including completion of mandatory training) that may adversely affect the business, interests or reputation of any group company. You will be working with English language most of the time so good English skills is crucial requirement.
As a Team Administrator, your skills and qualifications will be wide ranging. Your attributes will include:
- English level – B2+/C1 minimum (written and spoken)
- Excellent organizational skills and detail-oriented
- Ability to work on own initiative with little supervision
- Computer savvy (advanced skills in Excel, Word, PowerPoint and others) – ability to quickly learn new software applications and to educate others in them
- Effective communication and presentation skills
- Excellent problem-solving skills and remaining calm under pressure
- Ability to work well as part of a team
- 12 months experience in general administration would be an asset
- Experience of working in an international environment would be an asset
