Program Coordinator
Work Location: Kraków

Responsibilites
- Create and keep program-level documentation (Client requirements regarding the process, internal instructions, records of the experience gained on past projects, etc.) up to date
- Participate in the organization of two-way visits (both of Clients to the GL and the GL's employee’s to Clients) and video meetings for project team members and clients
- Business trips and Visa processing coordination
- Organize and manage program-specific training for project team members
- If any equipment is going to be delivered from the Client for project needs, organize the shipment according to the documents related to the Process –
- Shipment of Equipment (Ukraine)
- Keep a record of the Client’s property
- Provide timely notice of days off and public holidays in Ukraine to Clients
- Maintain infrastructure for the service level rating submissions, request appropriate permissions for employees and Clients and control the submissions’ regularity defined for the program
- Provide the Client with timely notice of problems with the program’s infrastructure that can affect the duration of project activities or their results (for example, power outages)
- Make timely updates to the information about the project teams within the appropriate program
- Control the progress of tasks assigned to other units of the Company if these tasks pertain to the program
- Organize program-related events and team building activities
- Track vacancies requests
- Program lifecycle coordination
- Finance processes regulation, budget control, invoicing process organization, procurement processing, allocations processing
Requirements
- Strong knowledge of MS Excel, proficiency in MS Office (MS Visio, MS SharePoint would be a bonus)
- Upper-intermediate English (Advanced is preferred)
- Understanding of IT specific, development process
- Analytical and problem-solving skills
- Multitasking and the ability to handle a high volume of work
- Excellent organizational skills
- Strong interpersonal and communication skills
- Ability to learn rapidly
- Time management practice, ability to meet deadlines effectively
