People & Culture Administration Specialist role is to provide guidance and timely advice on procedures, processes, and document flow related to personnel administration. Process employee data and properly execute P&C administration process including personnel documents tracking, collection, verification, archiving etc.

- Working in a diverse and inclusive organization of 33 different nationalities
- Create employee folders, maintain employee files and archive employee documentation. Ensure accuracy, data privacy, integrity and confidentiality. Execute data audit
- Answer employee queries related to employment relation and separation, employee documentation, working time, parental leaves etc.
- Coordinate the contract termination process by liaising with P&C Business Partner, Manager, IT and Employee, to support the smooth separation
- Support parental leaves (maternity, paternity, family leave etc.) by responding to employee questions related to requesting/returning from such leaves and consulting them on the document flow. Review, suggest corrections and store documentation related to parental leaves
- Track data on employee contracts, promotions, salary deductions, occupational medicine referrals, medical certificates etc., and liaise with P&C delivery teams to share and update information
- Conduct a monthly audit of submitted overtime work requests and flag irregularities related to those
- Assist with local P&C reporting, including ad-hoc reports
- Create P&C requests in the ticketing system also on behalf of inactive employees
- Support of employee documentation digitalization project
- University degree. A degree in business administration, management, human resources, and psychology will be a plus
- Familiarity with polish labour law will be a strong advantage, but at least interest in that area is required
- Fluency in English
- Working knowledge of MS Office (Excel, PowerPoint, Word, Outlook)
- A strong work ethic that you can role model as a part of the local P&C team
- A sense of responsibility and full ownership of the tasks and projects that you are entrusted with
