Your Impact:
This is an entry-level position responsible for procurement transactions in North America predominantly US. The incumbent closely cooperates with the Procurement Professionals for the given project.
The incumbent has some basic knowledge and understanding of procurement concepts, principles and practices, and the techniques of ensuring task completion and supplier relationship expectations. The incumbent understands the role of procurement and its integration with other project functions, accomplishes value-added expectations, and performs assignments in accordance with established policies and procedures.
SPECIFIC RESPONSIBILITIES
- Exists within our Global Business Services Procurement organization and reports to the Procurement Operations Manager
- Subcontracting assignments typically will consist of lower value, non-critical services, or support of other subcontract administrators as requested.
- Provides administrative support to (data entry, correspondence control, filing, etc.)
- Utilize established policies, procedures, systems, and tools
- Works in accordance with company policies and procedures relating to subcontract administration (including but not limited to safety and ethics).
- Advises to stakeholders how to create requisitions and helps them in understanding the overall Procurement process
- May assist in creating iProcurement requisitions on behalf of Project Management
- May assist with reviewing invoices related with subcontracts and ensuring that invoices are approved in accordance with terms and conditions agreed within the agreement
- Evaluates facts surrounding purchase subcontract-related problem areas and applies remedies to resolve it
- Maintains subcontracting documentation in a repository
- May prepare bidder lists, qualify bidders, prepare requests for quotation/proposal, and conduct bid evaluations.
- Provides CertFocus support to control insurance certificates of subcontractors
- Provides close-out support of project
- Works under close supervision. No direct reports or supervision responsibility.
- Coordinates with project or departmental personnel in performance of the subcontracting activities.
- Uses superior interpersonal communications skills to effectively interface with stakeholders, Subcontract Administrators, Procurement Specialists, and functional partners at all levels of the organization
Here’s What You’ll Need:
- High School or Bachelor’s degree
- Some experience in Procurement desired, preferably in direct procurement.
- Strong attention to detail coupled with strong analytical capabilities and skills to prioritize and manage multiple time-sensitive initiatives simultaneously
- Fluency in English, both written and spoken. Other languages may be an asset.
- Excellent written and verbal communications skills
- Advanced knowledge of enterprise procurement systems (Oracle, Ariba, etc.) are required
- Available to work late shifts. The shifts will be 12.00-20.00 local Krakow time, working days Monday to Friday.
