We are looking for:

Manning and controlling the reception area
(handling the incoming mail, couriers and suppliers, receiving visitors, receiving incoming mail, central board – receiving and connecting calls, access card registration, registration of relevant incoming documents / mail, registration of incoming invoices, forwarding incoming invoice to adequate unit for cost approval, making and archiving Attendance List, Visitors List and Register of Leaves During Working Hours, preparation of bank transfer details for payments)

Organization and settlements of business trip of employees
(buying tickets, booking hotels and others, coordination of business trip register, tracking business trip settlements with employees in timely manner, tracking documentation relating to cost of short business trip for refund)

Coordination of apartments for employees in Poland and Norway

Administrative tasks
(handling office cash account, office documentation archiving, office documentation archiving, registration of important documents external / internal, sick leave registration, vacation leave applications registration)

Office maintenance
(coordination of office cleaning company , monitoring office material supplies and kitchen supplies)

HR support
(Changing CV formats into APPLY format, ordering business cards, preparing access card and badge, introducing data into Intranet, making appointments for initial medical tests, collecting of reimbursement forms for medical service for ALLIANZ)

Bachelor or Master degree, preferably in economics or administration

Min 3 years of professional experience in administration department (experience in organising business trips will be an asset)

Knowledge of Microsoft Office applications (Word, Excel and PowerPoint),

Excellent communication skills – proficiency in verbal and written English,

Proven ability to manage multiple tasks at a time while paying strict attention to details

Ability to work under pressure, solely, or as part of a team environment with minimal supervision.
