Your role
Are you a detail-oriented multitasker? Do you know how to make sure things run smoothly? Would you like to join a dynamic, global team supporting all functions and divisions in UBS? We are looking for someone who can provide administrative support to Process Excellence Academy. You will:
- provide virtual support to the PEX Academy team located in CH, UK, USA and APAC
- arrange training and knowledge management event logistics; book training rooms, register / invite attendees, organize printing, arrange webinars etc.
- manage the PEX Academy training management information system; record training attendance and feedback
- create training attendance reports, course feedback reports and compile summary presentations
- provide administration support for the following systems:
- o Manage the PEX Academy shared mailbox
- o PEX Academy SharePoint site
- o PEX Portal
- o PEX Connections
Your team
The Project Consulting and Business Intelligence team (PCBI) is a newly created team and part of the Corporate Development & Performance organization. This team serves UBS internal clients across the bank, supporting business divisions/functions/regions with project management capabilities and enhanced staff leverage to deliver on change/project work.
The Process Excellence Centre of Expertise (PEX CoE) acts as a center of competence for process (re-) design and optimization work across UBS, with tools to deliver continuous front-to-back efficiency and to lead PEX transformations.
The PEX Academy resides within the PEX CoE, providing capability development support to the PEX CoE and internal business clients. The PEX Academy are the custodians of the UBS PEX Way; providing training, certification, communication and knowledge management services.
Your experience and skills
You have:
- at least 2 years of experience in international environment, preferable experience in administration
- demonstrated very good knowledge of MS Office in particular MS Excel, MS Word and MS PowerPoint
- good knowledge of MS SharePoint, or a willingness to learn
- excellent communication skills and ability to work in the team
- ability to prioritize own workload on a daily basis
- strong analytical and numerical skills
- ability to juggle multiple priorities in fast paced environment
You are:
- graduate educated with an interest in Finance and Process Excellence
- a strong written and verbal communicator, comfortable interacting with colleagues at all levels
- incredibly organized, with an innate sense of how to prioritize
- fluent in written and spoken English
- trustworthy and with strong sense of ownership
- open, fast learner, willing to learn and teach others and develop within the role
- able to work flexible hours, when needed
