Location: Kraków
Working in conjunction with project team, the Project Specialist takes an active part with the implementation of programs and projects. This includes projects related to Payroll Operations and Payroll Customer Service. Duties include planning, developing, implementing and evaluating programs and projects, coordinating project activities, collaborating with project team members, developing measurable project goals and objectives, and monitoring progress toward achievement. The role reports directly to Payroll Project Manager.
- Ensure assigned projects are correctly planned and managed during execution
- Manage process of scope definition and change control
- Identify important potential risks related to projects
- Establish and execute detailed plans to ensure risks are mitigated
- Develop overall project plans for projects, consistent with specific project objectives as defined by project owner and key stakeholders
- Coordinate the process of gathering the information about improvement areas within the existing operational processes - project initiation phase
- Provide appropriate tracking and reporting vehicles and mechanisms
- Perform as primary project contact to establish key stakeholder requirements and project objectives
- Monitor and update project information systems, maintain meeting minutes
- Make appointments, meeting arrangements, and coordinates activities between program management and the client
- Prepare, monitor and update project plans and co-ordinate project meetings
- Identify, assess and resolve issues on projects, and escalate complex issues appropriately to senior management
- Collaborate with senior management and other project members to plan, implement and communicate project management improvement initiatives
- Maintain tactical responsibility for tracking project status
- Develop mechanisms for monitoring project progress and for intervention and problem solving
- Implementing and executing mechanisms and tools to review the processes - implement continuous process improvement philosophy
- Master's level degree
- Very good English language skills (at least B2 level)
- Providing effective communications (interpersonal, written, verbal and presentation skills) in a demanding and fast paced environment
- Excellent command of application and tools (Word, Excel, Google Docs, drawing and charting tools like Visio or Lucidcharts)
- Experience in coordinating and managing projects
- Excellent ability to establish and maintain world class working relationships with all peers and stakeholders
- Ability to operate in a team environment and be flexible in taking on and performing assignments as necessary
- Demonstrated ability to work with a limited supervision
- Demonstrated ability to perform duties that require close attention to detail
- Professional knowledge of Project and Change Management (knowledge of PMI/Agile methodologies; familiarity with Prosci's ADKAR model considered a plus)
- Coaching/facilitation skills
- Experience within BPO organizations highly desirable
- Experience using statistical process improvement methodologies, e.g., Six Sigma
