Job description
Working under the overall supervision of the Chief of Mission and direct supervision of the Programme Support Unit Coordinator (PSU), the successful candidate will be responsible for supporting the implementation and coordination of the Mission’s Programme Support processes which will include donor reporting, project development, Monitor & Evaluation strategies, methodologies, and contingency plans that respond to new and emerging contexts for IOM Poland.
Core Functions / Responsibilities:
- Support the PSU in compiling inputs for project development and other periodic requests from donors, partners and senior management, in coordination with programme units.
- Support programme managers and reporting officers in compiling donor and other periodic reports in line with agreed reporting schedules.
- Prepare necessary reports and disseminate them to relevant stakeholders, highlighting necessary follow-up actions as required.
- Gather programme information and data relevant to the mission for external and internal publication, and provide general and administrative contribution to the drafting of project proposals, concept notes and other key documents in line with mission’s priorities.
- Support the PSU Coordinator to develop, train and mentor junior staff of the unit along with succession planning where possible.
- Support the PSU Coordinator to train and guide the staff of the programme units on results-based reporting.
- Support the Media and Communication and the Monitoring and Evaluation (M&E) units to document the progress and activities of on-going projects, such as capturing case stories for donor reports, the mission website and newsletters based on M&E activities in the project sites.
- Collaborate closely with the M&E team/Officer in the development of key project indicators, in line with the mission’s strategy.
- Facilitate the gathering of project teams’ feedback and challenges, and draft lessons learned for programme development, in close collaboration with the M&E Officer.
- Contribute to the drafting of talking points and briefing notes for PSU coordinator, senior management and programme teams.
- Support and coordinate periodic field visits for donors and partners.
- Utilize IOM systems such as PRIMA efficiently, ensuring all projects are accurately reflected and updated in a timely manner.
- Undertake duty travel related to PSU activities as required and perform any other duties as may be assigned.
Requirements
Required Qualifications and Experience
Education
- High school degree/certificate with five years of relevant work experience; or
- University Degree from an accredited academic institution in Social Science/Public Relation/Economics/Development Studies/ International Relations or other relevant disciplines with three years experience.
Experience and Skills
- Experience in project development and project management, drafting of reports and briefing notes.
- Strong coordination, negotiation, mobilizing and facilitation skills.
- Strong verbal and written communication skills.
- Experience of utilizing online platforms or databases.
- Experience organizing training programs and similar events an advantage.
- Experience in liaising with partner organizations, national and international institutions an advantage.
- Must be proficient with MS Office, including writing word documents and utilizing excel.
- Experience working for NGOs, Government or International institutions an advantage.
- Familiarity with humanitarian and/or transition assistance programming an advantage.
Languages
Fluency in Polish and English (oral and written) is required.
