Your opportunity
Are you a naturally organized person, with excellent planning skills and the attitude to follow projects through to completion? This may the right opportunity for you! We are now looking to strengthen our Border6 – An Expereo Company team with an experienced Office Manager.
As an Office Manager you will handle a wide variety of tasks and will be the centre point of all day-to-day support activities in our Katowice, Poland office. This will include general HR and business administration among other tasks such as be the first point of contact for our visitors. You will communicate and coordinate internally with colleagues and management of each department and externally with suppliers and clients in the English and Polish language. You will think one step ahead, solve or avoid problems creatively and are discreet and able to juggle various responsibilities.
Your primary tasks in this position will include:
- Providing daily optimal business support (administration, facilities, HR);
- Act as the vocal point of contact for all facilities related topics;
- Reporting internal data to relevant stakeholders;
- Answering the telephone and redirecting calls as appropriate and take messages when required;
- Coordinate and organize all business travels from our office (via internet or with travel agency);
- Taking care of visitors and arranging the catering and other needs for on-site training classes, external visitors or customer events at our premises;
- Internal and external post distribution, shipping goods and booking couriers, manage the meeting rooms;
- Maintain office supplies stock, business cards, etc.;
- General HR support such as ensuring up to date administration of all employee records;
- General Finance support such as administration of staff expense claims;
- Perform general ad hoc administrative duties as and when required.
Requirements
Your Profile:
- 3 years’ office (administration) experience in a similar generalist support position;
- You enjoy supporting the team and take pride in helping to run operations smoothly;
- Proficient in the English and Polish language;
- Competent with Microsoft Office (Outlook/Excel/Word);
- As the face of the office you always have a professional and welcoming demeanour both internally as externally;
- Customer focused and strong communication skills;
- Experience in a dynamic and international work environment;
- Proven track record of travel bookings/management integrity;
- Solid administrative skills and accurate, well organised, creative, persistent, quality driven;
- Proactive and team worker;
- Self-starting and able to work unsupervised and confidently with confidential matters.
