Office Manager
The Role
To assist with setting up new IT office in Wroclaw and support daily operation of the office going forward.
Responsibilities
- Provides administrative assistance to management team.
- Responsible for the operation and maintaining of office equipment; arranging repairs when necessary.
- Oversees inventory of office supplies; responsible for requisition of office supplies.
- Maintains and manages relationships with suppliers including IT.
- Collects and routes incoming mail on a regular basis, organises and composes office correspondence and other reports.
- Assists with greeting visitors and callers, ascertains nature of business and directs accordingly.
- Assists with maintaining office files and records.
- Coordinates lines of communication between personnel and ensures information is distributed.
- Maintains list of all current office details, phone numbers, and necessary information.
- Maintains financial records, carries out office bookkeeping and prepares regular reports as well as liaises with Government Services.
- Maintains supply of office refreshments, cleaning and kitchen facilities.
- Handles various requests from management team with regards to obtaining information, quotations, sources, suppliers etc.
- Ad-hoc duties as required.
Requirements
- College or university degree.
- An accounting qualification would be an advantage.
- Relevant experience in a similar role.
- Experience in setting up a brand new office would be an advantage.
- Fluent English is essential.
- Knowledge of general office procedures.
- Knowledge of the organisation and maintenance of filing systems.
- Ability to compose letters and memorandum.
- Ability to gather data, compile information, and prepare reports.
- Excellent communication skills, verbal and written.
- Detail oriented, highly skilled in organisation and prioritising.
