Purpose of the role
Provide administrative support to the OC Director and senior management team: organise and manage day-to-day activities, effective management of time and interaction with executives across the Group
Provide office administrative support, ensuring smooth functioning of office processes and procedures
Be the office receptionist, ensuring visitors are welcomed and enquiries handled in a professional and courteous manner.
Accountabilities
• Organise and manage day-to-day activities for the OC Director and senior management team, ensuring efficient and effective diary and email management
• Manage day to day relationships and communicartions with external contacts, ensuring efficient responses and follow through.
• Manage general correspondence, including researching and drafting responses where appropriate.
• Organise and support all regular and ad-hoc management meetings, attending to take minutes where required and managing meeting attendee availability (including room bookings and equipment provision).
• Chase information & use internal network to move issues along.
• Provide general office support; e.g. filing, archiving, admin support
• Be the Office Receptionist: meet and greet for visitors and ensure enquiries are handled in a professional and courteous manner.

Required Skills, Qualifications & Experience
Qualifications
• Successful completion of secondary education

• Working knowledge of the languages of the countries of our operating companies is an asset: working knowledge of Spanish is particularly important
Experience
• At least one year’s experience working in an administrative role in an international company
• Knowledge and experience working with Microsoft Office Systems, preferably Office 365
• Experience working with confidential and sensitive documents is an asset
