On behalf of our Client, an international corporation, we are currently looking for enthusiastic and motivated Meeting Planners/Venue Sourcing and Admin Support Specialists to join Meetings & Events Team in client’s Warsaw office.
The function is to deliver an innovative, quality, meetings consultancy service that exceeds client’s expectations for conferences, meetings and group accommodation. This is the client facing position. This role will include the areas of sourcing & contracting, rate negotiations, accounting, reporting, and some other admin tasks. The person in charge will be working in a HUB Team that delivers the service from Warsaw to the client with the offices in 15 European markets.
Responsibilities:
• Venue sourcing & Contracting Briefing with client Sourcing of venue and services according to briefing and clients request and preferred suppliers (mainly hotels, meeting locations, restaurants) Re-negotiations to drive client savings Contracting Undertaking continuous self-development and training to ensure outstanding quality and customer satisfaction standards are achieved as measured by CSAT and or post event evaluations Building a good relations with clients and suppliers
• Accounting: Supplier payments Monitor and follow up on bookings Recommends actions to resolve discrepancies Dunning processes Invoicing and account reconciliation Various finance reporting tasks Commission handling Audit check tasks
• Reporting: Reporting and reconciliation tasks in the meeting management tool (StarCite) and other reports required by Meetings & Events or the client
Qualifications:
• Enjoying sourcing work according to the already confirmed process
• Enjoying administrative tasks and structured work
• Good knowledge of meeting venues, primarily in Europe
• Strong negotiation skills
• Strong communication skills in English, (Additional languages will be for us an extra benefit)
• Good understanding and usage of online tools and reporting systems
• Solid accounting understanding, basic knowledge in bookkeeping; analytical thinking
• Competency in Microsoft applications including knowledge of Excel
• Team-working skills
• Confident, professional personality which is portrayed on the telephone and face to face with colleagues, clients and suppliers
