Global Mobility Operations Support Specialist

Description:
Working with the Global Mobility group, Mobility Operations plays a critical role in the support and
administration of immigration, domestic and international relocations and assignments within and to locations throughout the world. Mobility Operations provides ongoing administrative support to those internal and external partners supporting our mobile workforce inclusive of relocation/assignment documentation, immigration, visas, statutory requirements, benefits, coordination with outside vendors, allowances, and issue resolution.
Responsibilities:
- Responsible for data entry and updating Assignment Management System (Topia) on a regular basis with employee and dependent mobility information (passports; letters; birth certificates; etc.). Own data integrity for the Topia system inclusive of review data entered and taking appropriate actions.
- Respond to employees’ and stakeholders’ queries, ensuring a full understanding of the issues and needs to ensure effective resolution.
- Generate cost estimates in support of assignments to help establish accounting accruals.
- Responsible for the integrity and validity of the data in the Topia system.
- Processes requests/documents related to a mobile workforce, and updates systems while ensuring efficient delivery of customer service to all team members and compliance with Jacobs immigration and mobility policies.
- Ensures high-quality standards for all activities, initiatives, and tasks within the designated functional area(s) of
- responsibility. Adheres to all service level agreements (SLAs) established by the HR functional area(s) / team(s).
- Appropriately documents case details and relevant information in the Case Management System (Service Now).
- Responds to questions on standard, administrative procedures and practices via multiple channels (e.g., e-mail, phone, case management system).
- Collaborates effectively with others in order to execute tasks and fulfill key deliverables within the HR functional area(s). Integrates efficiently with team members in the functional area(s), seeking input/assistance as needed. Strives to gather and share information to allow for transparent knowledge transfer and effective overall capability of the HR functional team.
- Provide continuous status updates, guidance, and information to customers, key stakeholders, and peers within the HR functional area team(s) to ensure case resolution. Provides feedback and recommends process improvements to management.
- Participate in the projects related to improvement of the Global Mobility processes and documentations
- Participate in lessons learned meetings when there are service failures or unexpected results.
Qualifications:
- Proficiency in English (written, spoken, comprehension) required
- Bachelor's Degree Required
- Aptitude with numbers required
- Demonstrated commitment to customer service and business results
- Strong customer service and communication skills
- Strong computer skills (Excel, Word, PowerPoint)
- Knowledge and comfort with HRIS systems
- General business acumen, demonstrated analytical and creative thinking ability
- Must have global/multicultural focus, sensitivities and adaptability
- Ability to successfully navigate through multiple competing and changing priorities
- Attention to detail
- Preferred prior experience working with a mobile workforce, such as international or domestic assignees relocating employees, employees with immigration cases, including visas and work and resident permits
- Additional foreign languages a plus
- Prior experience with Topia Assignment Management Technology or Oracle a plus
