As a Facility Lead/ Co-ordinator, you become a part of our Global Shared Services Centre in Gdansk. Here, you won’t find factory machines or farmers. Instead, you will join over 640 colleagues dedicated to supporting all of Arla with IT, HR, Financial, Logistics, Member Relations and Procurement operations. About the job
As a Facility Lead, you will head up Facility Services and will be responsible for reception, office space maintenance and Health & Safety of our employees. Don’t worry you will not be alone as you will join a group of highly motivated and skilled specialists in these fields as part of the Facility Services team.
Your tasks would include:
- Being responsible for the day-to-day operation of Arla GSS office located in the Neptun building, Gdańsk Wrzeszcz
- Ensuring that all periodic inspections are taking place and are fully documented
- Liaising with architects and service contractors responsible for construction projects
- Providing advice on technological, architectural and environmentally friendly solutions
- Participation in the preparation of contracts for service contractors, terms and conditions of lease
- Monitoring office operational costs and proposing cost saving solutions
- Being responsible for storing and archiving formal, legal and technical documentation relating to Arla GSS office
- Being responsible for projects relating to facilities and building administration.
- Supporting and collaborating with our procurement department in tender process for Facility contracts and projects.
- Provide timely and accurate information to internal and external stakeholders.
- Championing a safe and healthy workplace and fair and equitable work practices.
- Ensuring the office space is designed in accordance to the company’s visual identity.
- Inspect buildings’ structures to determine the need for repairs or renovations.
- Participate in nominated cross organisational teams.
- Being part of the Global Facility Forum (engaging with colleagues worldwide, sharing best practice and aligning services).
What we are looking for:
- At least 2 years’ of Facility Services experience, ideally within SSC
- Good knowledge of facility management
- Excellent customer service
- Proven record of taking initiative to continually improve and develop office environment
- Excellent verbal/ written communication skills with a good telephone manner
- Fluency in English – written and verbal
- Strong listening and questioning skills
- Knowledge of Microsoft Office
- Excellent organizational skills and high commitment
- Professional personal presentation
- Ability to work on own initiative and take responsibility where necessary and to work as part of the team
