Executive Assistant

Once shares and bonds are traded, the securities and cash need to be exchanged. That’s where Euroclear Bank comes in to ‘settle’ the trades.

Every day, Euroclear processes around 200.000 transactions. At the very heart of our organisation, the Operations Division is responsible for delivering premier settlement and related services to our clients. Starting your career in our Operations Department will give you a unique grounding in how the global financial system works.

 

Your part of the deal

 

Your main responsibilities of the Personal assistance include:

  • Management the Department Head’s mailbox

  • Preparation files for meetings

  • Filter and re-direction of incoming calls

General administrative tasks:

  • Agenda and calendar management: organize meetings (locally, by video conference or telephone conference, off-site meetings), input of planned absences, trips, info sessions, etc.

  • Organization of travels and attendance at conferences and seminars

  • Preparation of expense reports

  • B/U Secretarial assistance

  • Cooperation within the pool of assistants in Belgium

  • Creation of purchase requisitions and follow-up in Oracle

  • Document management filing

  • Written correspondence: typing letters based on notes, putting letters into the right Euroclear templates, ensure these are signed by the correct person and sending the letters by normal post

  • Drafting and proofreading of documents, including checking of format and lay-out

Your profile

  • Excellent level of written and spoken English is mandatory

  • Minimum 2 years of experience in a similar position

  • Excellent organizational skills and are flexible

  • Good communication skills (written and verbal)

  • Ability to work independently (initiative taker) in dynamic environments

  • Proficient user of the MS Office suite and Lotus Notes

  • Team player

  • Pro-active and not afraid to take initiative

  • Professional, flexible attitude towards work

  • Strong client focus
