Responsible for coordinating company’s travel needs while ensuring the company travel budget constraints are met; duties will include scheduling hotel, ground transportation and flight accommodations, handling contracts with hotels, airlines and transportation companies. Reporting and reviewing charges against budgets.

Monitoring emails to ensure travel is being booked within company policy

Responsible for highlighting out of policy bookings and making adjustments to itineraries for internal and external staff

Sourcing alternative solutions to find best value in travel

Create reports on cost savings and methods used

Discussing itinerary changes with travelers across the company including senior managers and executives

Act as a liaison between Egencia, the company’s travel booking tool and Infusion

Entering project expenses and recharging project expenses

Budget tracking for senior managers

Reporting on travel trends and recommending options for more cost effective travel

Managing company’s corporate housing from leases, maintenance, utilization and making suggestions on more cost effecting lodging options globally.

Proactively Negotiating rates with suppliers and identifying other opportunities for savings i.e. corporate rates with hotels close to infusion’s offices

Update and implement travel policies to remain in line with yearly budget

Suggest and implement best practices throughout the travel process

Experience in corporate travel management, booking travel and managing multiple itineraries

Experience working with online travel booking tools and online expense management systems
-
Experience in running reports and customizing online tools to capture detail needed

Intermediate working knowledge of Microsoft Office and Microsoft Excel

Able to work with pivot tables and large amounts of data

Excellent written and oral communication skills, and experience in communicating with Senior Managers and Executives

Ability to manage multiple responsibilities simultaneously with minimal supervision.

A minimum of 3 years’ experience in a corporate environment
