By diligently implementing our strategy, it has been decided to establish a SIX-wide Shared Service Center at our existing location in Warsaw (Poland). From there, services will be offered that are currently being provided by functions in a variety of countries.
In this context, we are currently looking for the Corporate Travel Coordinator based with his team in Warsaw (Poland) to craft effective corporate travel policies and monitor traveling activity and programs across different countries from our different locations. Reporting to the global Head Procurement, your main objective is to ensure employee travel is safe and organized according to company policy. You and your team will be the go-to person for any relevant matter from booking tickets to reconciling expenses to ensuring travel safety.
- Establish an excellent Travel Management Team in Warsaw and ensure smooth and professional transition of knowledge, systems, and operating capabilities from the sending location;
- Handle and oversee all travel arrangements (air; lodgings etc.) and operations;
- Develop strategic policies and programs for corporate travel;
- Manage relationship with travel agencies and vendors to establish service level expectations,
- Support contract or rate negoations with travel service providers;
- Oversee administration of corporate credit card program inclusive of managing provider relations;
- Provide advise on travel documents, insurance, import/export regulations etc.;
- Supervise a small team of travel agents (recruitment, coach and help their development);
- Process travel and expense reports (statistics);
- Administrate invoices and reimbursements, allocate costs and answer clarification inquiries;
- Ensure compliance in all aspects of travel procedures and provide options to increase compliance;
- Drive continuous improvement to increase travel program efficiency using design-thinking and customer-first mindset. Leverage peer / industry best practices and benchmarks to make recommandation. Improve the Travel Tool and manage the related changes requests with IT.
- High School Diploma or equivalent required in travel industry,
- Minimum 7 years working within the Travel Management Business required and especially in Corporate Travel management (Ex agents or –counters, shared service centers),
- Proven experience as corporate travel manager and team supervisor and leader,
- Knowledge of international travel regulations, customs and currencies,
- Knowledge of T&E reporting and processing,
- Working knowledge of MS Office and CTM/GDS Solutions,
- Customer-oriented approach,
- Demonstrate decision making, problem solving and analytical skills with particular attention given to detail and accuracy,
- Polish mother tongue and excellent German and English language skills in aural and writing, qualification certificates are necessary.
