Capita Conferences delivers over 250 UK public sector events per year across local and central government, education, police, children’s services, HR, health and housing. The events include major one-day national policy conferences, large-scale exhibitions, half day briefings and workshops.
Capita Conferences is the market-leader for public sector events, attracting over 10,000 delegates a year. Our conferences are both cross-cutting and cutting edge: we tackle vital issues facing the public sector, with key experts and practitioners sharing best practice and advice to teach and inform delegates in their field of work.
Capita Conferences is part of the Learning Services Division within the Capita.
Please note that the role may require working to take place in a shift pattern between 9:00 and 19:00 (Monday to Friday).
Speaker Liaison Liaising with conference speakers on assigned events to:
- Obtain biography and presentation for inclusion in the conference delegate pack
- Make any necessary hotel and travel bookings within agreed budgets
- Process and record speaker expenses post-event within agreed budgets
Event Management
- Liaising with the Events Manager regarding venue arrangements, including access requirements
- Booking appropriate audio-visual support within agreed guidelines
- Liaising directly with venues and external suppliers to ensure all on the day requirements are met
Pre-Event Administration
- Production of delegate packs in PDF format, including confirming that all information is present and accurate and that the pack has been produced in accordance with the house style
- Responsibility for the accurate production of delegate lists and badges
- Processing of all delegate correspondence and information accurately, to include any amendments or alterations
- To send out joining instructions, invoices and venue confirmation information to delegates\
Post Event Administration
- To carry out post-conference evaluation analysis
- To process and send out final delegate packs
General Other Tasks
- Liaison with production, marketing and sponsorship teams to ensure smooth running of events
- Processing bookings on CRM as required
- Supporting any other business tasks that may be required
- Hold a university degree
- Have experience of working in a fast paced customer focused business, servicing an English speaking market
- Have a proven track record of building excellent relationships with stakeholders
- Have experience of working to strict deadlines in a target driven environment
- Have experience of working with IT in a business environment
- Have knowledge of the UK Public Sector
- Are fluent in English (both oral and written)
- Are fluent in other European Languages (considered an asset)
- Have strong communication skills and a very strong customer service orientation
- Are proactive with strong multi-tasking and prioritisation skills
- Have high level of accuracy and attention to detail
- Are able to work on own initiative but also work very well as part of a team
