We are currently experiencing significant growth in the Energy & Infrastructure sector and are in need of a skilled team assistance for our Warsaw office. Join a highly motivated international team (with 17 nationalities among our 47 employees), managing the daily tasks of this function and serving as the liaison with our headquarters in Frankfurt Germany.
Team Assistant (F/M/D)
Warsaw, Poland - Hybrid
The Team Assistant role requires a proactive and detail-oriented individual who can independently manage communication, coordinate various administrative tasks, and collaborate effectively with team members across locations. The position is part-time (approx. 20 to 25 hours/week) with the potential to transition to a full-time role.
- Preparing accounting documents for the local tax company and actively managing communication with our tax consultant
- Overseeing the invoice filing system, ensuring accurate and up-to-date records
- Planning and organising business travel, ideally already with knowledge specific to the Polish market
- Coordinating appointments for the local team and senior management team
- Maintaining and updating the CRM register
- Managing incoming and outgoing business mail
- Contributing to marketing efforts, including social media management and press releases
- Supporting the team in executing national and international M&A and financing transactions
Requirements:
- Proven professional experience in a commercial sector, with a strong understanding of business processes
- Familiarity with Microsoft Office products
- Strong communication and interpersonal skills
- Strong work ethic with the ability to work effectively both independently and as part of a team
- High ethical standards and a commitment to maintaining confidentiality
- Proficiency in English
- Proficiency in German is preferred, but not mandatory
