Administrative Mobility Consultant

Job specification:
- In this role you will provide ongoing general administrative support to the activities of the Branch Manager and Global Mobility Service team who manage a caseload of relocating employees and their families, either domestically or internationally.
Key areas of responsibility:
- Updating customer files within the Management And Tracking System (Interact) and other Crown databases by entering appropriate data with accurate and complete information.
- Instructing 3rd party suppliers by telephone, or email. Following up with letters where appropriate.
- Updating Crown internal databases/systems to ensure Colleagues are aware of action taken with each file.
- Assisting the Mobility Consultants with ad hoc reporting requests and other tasks.
- Registering and processing invoices for payment including job costing where possible.
- Checking and processing vendor invoices received.
- Contacting other Crown offices for information and follow ups.
- Researching (via internet and other sources) specific information required by MCs for clients/ transferees.
- Mailing, courier ordering and visits to Post office.
- Placing orders for office supplies and stationary when needed.
- Other General and Admin related tasks as requested by the Management.
Requirements:
- Strong organizational skills combined with a calm, team-player attitude.
- Knowledge of MS Office (Word, Excel, Outlook).
- Flexible, service-oriented, proactive, a high degree of accountability, attention to detail, common sense.
- Professional and pleasant style of communication devoted with can-do attitude.
- Good sense of prioritization and multitasking
- Fluency in English and Polish, both written and spoken. Knowledge of other languages would be an asset
