Administration and Accounting Specialist

Job description
- Creating, sending and following up on invoices
- Preparing wire transfers for approval in the internet banking system
- Close cooperation with external accounting company (transmission of sales and cost invoices, documentation) and controlling department (support in cash-flow management and reporting) both for Polish and US based company from the Group
- Creating, working with and updating different Excel files and reporting them to management
- Collection of overdue accounts receivables
- Payroll and HR: support in employment contracts preparation and related documentation, coordination and current contacts with accounting company regarding payroll
- Preparing various types of reports for managers and taking care of collecting correct and consistent data from different sources in the organization
- Communication on daily basis with other vendors like landlord, cleaning, post, office supplies etc.
- Creating office policies by setting up procedures and standards to guide the operation of the office
- Assist in planning in-house or off-site activities, like company events, meet-ups, business dinners, conferences and employees initiatives
- Involvement in various projects like maintaining calendars, doing research, creating reports
- Working as a 1st line of support and contact to Cracow office employees, employees working remotely in different geos (Warsaw, other countries) and with US based company from the Group
- Other back office duties and tasks (day-to-day office maintenance etc.)
Requirements
- 2-3 years of work experience at office administration/ accounting support or similar, experience at working in an international environment will be a plus
- Good command of MS Office including very good MS Excel skills
- Fluent English written and spoken
- Knowledge of basic accounting procedures, rules and principles
- Good verbal and written communications skills
- Ability to multi-task and prioritize tasks
- Teamwork attitude and enthusiasm to work
- Strong attention to details
- Command of French language would be an asset
