Ivona is looking for skilled Administration Assistant supporting administrative functions connected with our sales process in North America, Europe as well as other parts of the World. The role involves support and constant interaction with our sales team in USA. Therefore, you need to work in the wide time zone from Central European Time to Pacific Time that means working hours from 1:00 pm to 9:00 pm CET with a great deal of flexibility. Moreover, high communication skills in English both written and verbal are the must. You also must have the ability to quickly learn organizational structure, team objectives and adapt to Amazon values and vision. Perfect command in Microsoft Office Suite (especially Excel) is a must and experience in using Sharepoint, Salesforce, Oracle and web based corporate-wide tools and apps are preferable. Understanding of accounting basics and experience in work for international company in the multi time zone environment is a plus.
Activities include (but are not limited to):
- Managing the process of setting up new clients in Salesforce and Oracle for US clients,
- Managing the process of raising invoices for US clients,
- Managing the database of US tax exempt certificates,
- Managing international travel and expenses of US team,
- Streamline inbound/outbound communications; maximizing productivity and ensuring all requests receive attention with the proper level of urgency
- Preparing data for accounting and management,
- Support processes of invoicing for other countries,
- Support other administrative processes,
- Have fun and help others do the same.
Basic Qualifications
- Excellent verbal and written communications skills in English (proven by your professional experience, certificate or academic degree), and team orientated philosophy
- Excellent PC skills, including strong working knowledge of Microsoft Office and Outlook tools, especially Excel.
- High degree of professionalism in dealing with senior professionals and managers
- Ability to react with appropriate levels of urgency to situations and events that require quick response or turnaround. Ability to switch gears at a moment's notice.
- Ability to protect confidential and proprietary information using utmost discretion
- Impeccable attention to detail, time management and organizations skills
- Ability to complete a high volume of tasks, with little to no guidance, in a highly ambiguous and fast paced environment
- Ability to work 1:00 pm – 9:00 pm with a high degree of flexibility.
Preferred Qualifications
- College/University Degree
- Experience in using Sharepoint, Salesforce, Oracle and web based corporate-wide tools
- Experience in working for international company in the multi time zone environment
- Understanding of accounting basics
- Understanding of US sales tax basics
