The ideal candidate for the Operations Manager (OM) with account coordination responsibilities is highly self-motivated, energetic, and assertive. This individual is someone that enjoys acting as the point of contact for multiple internal stakeholders, and thrives in a fast paced, ever changing environment. This candidate is passionate about the team they support and do everything in their power to ensure their success. They are flexible and are able to tailor their communication strategy and approach for different audiences.
An OM is assigned to and works with an individual Business Unit (BU). Acting as a member of the BU management team, the OM is responsible for resource management and operations functions within the BU as well as operations related coordination with sales, delivery, and finance for the BU.
They understand the status of sales opportunities and staffing needs within the BU and work with Practice RMs to prioritize and ensure staffing of projects for their BU. The OM reports on, analyzes, communicates, and escalates measures relating to the operational and financial performance of the BU including resource utilization, revenue projections and actuals, gross profit, and other BU scorecard metrics.

Manages the schedules, utilization, and coordination of Business Unit assigned resources (PMs and Agency Leadership) to the projects and presales requests.

Prioritizes staffing requests for Practice Resource Managers and works with Resource Managers, fellow Operations Managers, and Associated Director to find solutions for “hard to staff” requests.

Communicates to Business Unit Sales and Management Team when resource requests cannot be filled by set timelines and works with various teams to decide upon next steps.

Prepares revenue projections for the Business Unit weekly which reflects recent/upcoming project kick-offs

Participates in weekly Business Unit planning and communication rhythms to reflect changes to sales pipeline, sales opportunity progress, project execution, etc.

Publishes regular weekly and monthly sales data reporting for the North American Sales Teams and Senior Management.

Oversees and approves monthly invoicing and revenue recognition (completed by the OC) for the BU.

Collect and manage unbilled and A/R notes for BU. Actively manages follow-up on unbilled and A/R issues to close out items and resolve invoicing and payment collection.

Creates and publishes weekly and monthly reports outlining Business Unit progress on various operations metrics including resource utilization, revenue projections and actuals, gross profit, scorecard priorities, etc.

Bachelor Degree and five years of experience in a corporate environment

Three years of experience relating to Operations

Project Coordination and/or Resource Management experience (or exposure to)

Intermediate to advanced working knowledge of Microsoft Excel

Excellent written/oral communication skills with a strong ability and high comfort level for communication with Senior Managers and Executive

Ability to manage multiple responsibilities simultaneously with minimal supervision

Experience in Sales is an asset but not necessary

Detailed oriented, self-motivated and highly organized
