The Avid Global Services, Operations Business Analyst (Professional Services) is responsible for the strategic operations of the Americas Professional Services team. This person will be responsible for forecasting and reporting of quarterly revenue, project financials, assisting with driving resource utilization targets, pipeline management efforts and other KPI's and metrics. The successful candidate will report on data from Avid’s Professional Services Automation tool (FinancialForce), streamline key business processes, function in a geographically diverse team, drive performance improvements, and communicate results to senior management.
The Operations Analyst function within Avid's Global Services organization has responsibility for ensuring that the Professional Services operations function efficiently and effectively within the Americas region.
- Forecasting – Work with the regional Professional Services Director, Delivery Managers and Project Management Office to manage/update Americas forecast targets on a weekly basis.
- Customer Invoicing – Invoicing for both Time and Expenses on a monthly basis; ensuring accuracy of data to minimize credit authorizations.
- Purchase Requisitions and Budgets – Validate new projects are correctly represented in FinancialForce from original sales order. Work with Order Management, Pre-Sales, and Delivery Manager prior to project kick-off to understand invoicing methods, credit terms, project budgets and fixed-fee/time & material of each project.
- Backlog Maintenance – review Americas Professional Services backlog on a scheduled basis to ensure all items are valid. Respond to inquiries regarding available backlog from Services Deliver Managers or other departments. Validate backlog information in SAP system.
- Project Assignment – Assist Delivery Managers and Project Management Offices to assign new projects and team resources. Identify qualified resources for project skill, time, and location requirements
- Process Improvements – Recommend process improvements to bring process efficencies to the Americas region. Provides Professional Services Automation tool training as needed.
- Working knowledge of a Professional Services Automation tool to support business functions desirable – preferably FinancialForce, Kimble or other.
- Expertise with MS Office products, especially Excel, PowerPoint. MS Access a plus.
- Experience with invoicing a Professional Services organization on projects that are time & material or acceptance (including expenses) ideal
- Ability to prioritize and meet monthly/quarterly deadlines
- Effective communication skills, both verbal and written
- Knowledge of project management methodologies a plus
- Knowledge of SAP & SalesForce desirable
- Able to work in a dynamic environment with proven experience working collaboratively across many functions and levels within a geographically diverse organization
- Minimum of 3 years of experience, preferably in an enterprise software, professional services or financial organization.
- Bachelor’s degree in Business Administration, Finance or Accounting preferred, or equivalent experience in a Professional Services organization
- Prince II or PMP certification a plus
