The Regional Procurement Office (RPO) Northern Europe is a newly established department which is mirrored for all our 5 Sales Business Units globally in order to accommodate the individual procurement requirements for the respective regions. With this shift from a central procurement organization to a partially decentralized set up also the responsibility for operational procurement will move from the Functions to the RPO. The relevant functions for which operational procurement tasks have to be performed are among others Sales, Construction and Service. Vestas is aiming for a world class Procurement organization by ensuring proximity between operational procurement and the Functions.
As Buyer you represent Global Procurement who is accountable for the Vestas Procurement Process. Therefore a part of your job is to:
- Train and support end-users in use of systems
- Guide requesters in selection of product and service
- Guide requester to the correct catalogue item, when wrongly making free text requests
- Support requesters filling in a free text request
- Support requesters in following up on undelivered products/services.
- Support handling of return of defect products.
- Process PRs with missing data/ information, i.e. selected suppliers, price are complete/updated.
- Initiate purchasing process when correct supplier for a Free-text PR is not incumbent.
- Issue PO's in accordance with Vestas' Procurement policy buying requirements.
- Convert free-text PRs into POs.
- Follow up on order confirmations and monitor open POs, to ensure deliveries on time or resolve potential supply issues with demand requestor and supplier.
- Track open orders, supplier confirmations, and delivery dates to ensure communication of order and delivery status.
- Support Accounts Payables Team on invoice handling and proactively resolve escalated/exception invoices and ensure that invoices are resolved and processed accurately.
- Participate in further improvement, optimisation and implementation of changes as required for team process improvements.
- Perform testing for system enhancements or resolutions to ensure that updates/changes will not disrupt the production process once implemented.
- Provide support and cover for other team members as necessary
- Route and process incoming Purchase Requisitions (PR) based on defined criteria, i.e. PR value (threshold), strategic relevance, and criticality.
- Proactively engage and collaborate with business stakeholders, in order to solve operational issues and problems related to Purchase Orders (PO) and PO maintenance with speed and quality.
- Provide excellent customer service to all, including suppliers, operating facilities, corporate headquarters, and RPO teammates.
- 3 years of relevant experience in Buying/Buyer Process/Procurement/Supply Chain or Customer Service function.
- Expert in SAP standard procurement report.
- Good understanding of SAP procurement related Master Data.
- Good knowledge in MS Excel & Power Point.
- Experience with Ariba.
- Fluent in English, written and spoken.
- Effective communication skills including verbal, written and presentation skills.
- Proven ability to work effectively both independently and in a team based environment.
- Demonstrated willingness to be flexible and adaptable to changing priorities.
- Strong multi-tasking and organizational skills.
- Proactive and outgoing.
- Flexible and service minded.
