Office Manager - Coordinator

Opis stanowiska

The company requires an Office Manager-Coordinator to ensure the smooth day-to-day running of all office facilities and administration requirements and to be a contact person between local lawyers and Human Resources. This role is ideal for an experienced office administrator/human resources assistant, ambitious office manager looking to diversify their career within facilities, office administration. You will need to be articulate and energetic with a ‘can do’ attitude and wish to immerse yourself into the operational dynamics of a successful and rapidly growing company. The prime responsibilities for the position are to co-ordinate office facilities, co-ordinate HR tasks, provide administrative support and over-see reception provision. This position is on full-time basis and based in our office in Warsaw. Responsibilities: Office/HR
  • Ensure that all supplier contracts are maintained and renewed in a timely manner
  • Health & Safety Officer overseeing general H&S requirements in offices
  • Take responsibility to ensure all necessary repairs to office environment are done
  • Provide a single point of contact regarding all reception, kitchen, office and facilities matters – resolving any issues and communicating with staff
  • Coordinate equipment/facilities, business travel insurance, office security
  • Handle incoming and outgoing post, email, faxes and telephone calls
  • Assist with the co-ordination of facilities/induction for all new starters including desk allocation, PC/laptop, phones, email accounts, office security cards/keys, and company induction
  • Facilitate communication between the Warsaw office and other BOOKING.COM offices
  • Travel co-ordination (flights, taxis, hotels) as and when required
  • Assist with organization of tradeshows and other Company events
  • Assist Area Manager with any work related tasks in regards to Polish language;
  • Administrative work:
    • When required - recruitment co-ordination for interviews, co-ordinate agency temps, (including checking time sheets)
    • assist with implementation new policies/procedures in the Warsaw office
  • Assist HR Manager with any work related tasks in regards to Polish language
  • Main contact to our private health care – LIM Joint Venture – to ensure high level of service, sign up new team members.
Special Tasks
  • Assist Senior Account Manager & Operational Team Leader in following tasks:
    • calling for rate & availability
    • calling and implementing Booking Button’s
    • create new acquisition reports
    • assist by individual Fax Mailings
  • Support with ad-hoc operational projects.

Wymagania

  • Relevant qualifications in administration, Human Resources or other
  • Proactive and positive attitude
  • Excellent multi-tasking, project management and organisation skills
  • Communication skills (written and verbal)
  • Word processing skills with Intermediate/Advanced knowledge of Microsoft Office
  • Ability to work without close supervision
  • Fluent in English and Polish
  • Knowledge of local employment law is desirable
  • Living in or nearby Warsaw
