The job is located in Coloplast Business Centre in Szczecin, Poland. It is a part of HR & Administration department where we provide a variety of HR services to the whole CPBC organization, including all office and facility management.
Office Coordinator provides facility support services in order to ensure efficiency and effectiveness within CPBC office. The role is to oversee all activities inside a building, addressing supply needs, making sure that health and safety standards are met and arranging for repairs when needed. It is responsible for office space, contracts, renovations and repairs as well as transferring employees between spaces.
- Managing equipment and supply needs (incl. furniture, telecommunications, kitchen appliances, office equipment and supplies, climate control)
- Coordinating and managing office space move of employees and assets
- Coordinating and monitoring of adaptation, renovation and other works carried out at CPBC in terms of their compliance with the building regulations, adopted safety rules and fire protection instructions
- Cooperating with building administrator, technical building service, cleaning services, office suppliers, landlord and property managers
- Arranging works with suppliers and contractors, overseeing delivery and management of all outsourced contracts
- Reception duties as required, including break, holiday coverage etc. (Receptionist back-up)
- Documenting processes, keeping maintenance records and budget spending
- Furniture stock ordering and management, identify needs for repairs or renovations
- Managing the clear desk policy and regular office floor sweeps
- Assist in finding new suppliers, participating in meetings with them and negotiating terms
- Prepare annual property budget, reconciling monthly expenses against the budget, review and approve invoices
- 2+ years of experience in office administration, reception handling, other administrative roles
- Spoken and written knowledge of English (min. B2)
- Good visualization skills and/or ability to read visualizations and office floor plans
- Understanding of safety regulations in offices (Health and Safety qualifications - nice to have but not obligatory)
- Good knowledge of MS Office (xls, doc, ppt, Outlook)
- Experience in suppliers management
- Driving license of B category (will be an advantage)
- Self-confident, strong interpersonal and organizational skills
